BILoads is a fleet and load-management service for trucking carriers and their drivers. This Privacy Policy explains what information the BILoads mobile app and web dashboard collect, how we use it, and the choices you have.
BILoads is used on behalf of the trucking company (the "carrier") that invited you. The carrier is the controller of the operational data about loads and drivers; BILoads processes that data to provide the service. If you are a driver, your employer decides which data is recorded about your trips.
1. Information we collect
We collect the following categories of information:
- Account and identity data: your name, email address, phone number, and preferred language, used to sign you in and identify you within your carrier. Authentication is handled by our provider Clerk.
- Driver and compliance data: CDL (commercial driver license) number and photo, DOT medical card details and photo, and similar records your carrier needs for compliance.
- Location data: precise GPS location, collected while a load is active — including in the background when the app is closed — to record trip mileage, show the route, and give your carrier real-time trip status. Background location is only collected during an active load and stops when the load is delivered or you rest.
- Photos and documents: photos you capture in the app such as bills of lading (BOL), proof of delivery (POD), fuel receipts, and vehicle inspection photos.
- Operational data: loads assigned to you, trip events and timestamps, inspections, expenses, fuel stops, and notes.
- Device and usage data: device model, operating system, app version, and diagnostic/log data used to keep the app working and secure.
2. How we use your information
- To provide the core service: assign and track loads, calculate mileage and pay, manage inspections and documents.
- To show trip location and route to your carrier while a load is active.
- To send operational push notifications (for example, a new load assignment).
- To secure the service, prevent abuse, and troubleshoot problems.
- To comply with legal and DOT/compliance obligations of the carrier.
3. Location data
Because BILoads is a trucking operations tool, location is central to the service. When you have an active load, the app collects precise location, including in the background, to record the miles you drive, draw the route on the map, and let your carrier see trip progress.
Location collection is tied to an active load: it starts when a trip is underway and stops when the load is delivered, cancelled, or you start a rest period. You can disable location permission in your device settings at any time, but core trip-tracking features will not work without it.
4. How we share information
We do not sell your personal information. We share it only as needed to run the service:
- Your carrier: dispatchers and administrators at the trucking company you work for can see your trip, location during active loads, documents, and operational records.
- Service providers who process data on our behalf: Clerk (authentication), Cloudflare R2 (document and photo storage), Mapbox (maps and routing), and our cloud hosting provider. They are bound to use the data only to provide their service to us.
- Legal reasons: when required by law, regulation, legal process, or to protect the rights, safety, and security of users and the public.
5. Data retention
We keep operational and compliance records for as long as your carrier needs them to run its business and meet legal/DOT recordkeeping requirements, and then delete or anonymize them. If your carrier removes you or closes its account, associated personal data is deleted or anonymized following that process.
6. Security
We use encryption in transit, access controls, and reputable infrastructure providers to protect your data. No method of transmission or storage is 100% secure, but we work to protect your information and continuously improve our safeguards.
7. Your rights
Depending on where you live, you may have the right to access, correct, or delete your personal data, or to object to or restrict certain processing. Because much of the data is controlled by your carrier, please start requests with them; you can also contact us and we will help route your request. You can update your profile and documents directly in the app.
8. Children
BILoads is a workforce tool for professional drivers and is not directed to children. We do not knowingly collect personal information from anyone under 18.
9. International transfers
BILoads operates primarily in the United States and our providers may process data in the United States. If you access the service from another country, you understand your information may be transferred to and processed there.
10. Changes to this policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date above and, where appropriate, notify you in the app.
